Manage members and roles

Assign instance-specific access, choose the appropriate role and resolve the most common member errors.

Access is granted per instance

A Suite identity can be shared across several services, but access is not global. Adding someone to one application instance does not allow that person to open your other instances. This separation lets each service keep its own team, plan capacity and permissions.

Check the requirements

  • The person must already have a Suite client account with the email you will enter.
  • You must be the owner of the instance to add, change or remove members.
  • The current plan must include an available additional-user slot.

Choose the role

  • Member: normally manages configuration and operational information.
  • User: works with the operational areas enabled by the application.
  • Client: has a more limited, mainly consultative scope.

The exact actions for each role depend on the application. Read the description shown in the role selector and apply the least privilege needed. The owner role cannot be transferred or edited from the member list.

Add a member

  1. Open My applications and enter the instance details.
  2. Go to Instance members.
  3. Enter the exact email of the existing Suite account.
  4. Select the role and confirm Add user.

Maintain access safely

Changing the selector updates the member’s role for that instance. Removing a member revokes access but does not delete the service history or records already associated with that person. Review access whenever responsibilities change or someone leaves the team.

If the member cannot be added

  • User not found: ask the person to create a client account and verify the email used.
  • Already assigned: edit the existing member instead of adding a duplicate.
  • Limit reached: remove an unused access or change to a plan with sufficient capacity.
Tip: Give each person their own account. Sharing credentials removes traceability and makes secure revocation impossible.
